Removal of facility roles for corporate users

• Back in July, EQRS ADO reached out to the EDIs about removing individual facility roles from users with a corresponding corporate role
• Corporate role has all the same functionality as a facility role, but for every facility in the corporation
• EQRS ADO received feedback there was some slowness with the corporate roles
  • Some enhancements have been made since receiving the feedback
• Today, EQRS ADO is following up to see how people are getting along with the corporate roles?
• Are there any concerns with EQRS ADO pursuing the removal of facility roles for corporate users?
• The main changes made were around Patient Search
  • Enhancements were made to the patient search to work better for the corporate role
  • So far, the feedback since the enhancements have been positive and working much better for corporate role users
• EQRS ADO would like to send out the list of users that have tons of roles that also have a corporate role and if the old facility roles can be removed
  • If certain facility roles are still needed, they won't be removed
  • Ideally want to get as many people using the corporate role as possible

  • Will the corporate role include the security official account and the QIP POC account?
  • Per Dan - not sure about the QIP POC; the security official role you have to switch between security official and your other corporate role to do an approval or rejection
  • You can have a corporate SO role or facility SO role and a corporate role at the same time but will have to switch between them
• Per Dan, they did remove all the thousands of roles from the corporate role's folks from FMC; according to Kathleen is going well.  May still need to run a new list for FMC
• EQRS ADO will rerun the list for each EDI and will reach out to the individual affected users

Personnel Module

• Personnel going into Production
  • What is your comfort level
• The 2728 changes will go to prod on 10/1
  • Can the Personnel changes go before or after the 2728 changes?
    • • Personnel changes include
        • updated ICH CAPHS to add the first and last name for on behalf of
        • updated the facility module so some contacts can be added there
        • updated the list of positions
        • made changes to the 2746 - add the first and last name of the person completing the form
      • There changes would be included in the 2728 changes on 10/1
  • Question (Nathan)
    • When it comes to the Personnel Module, what will the user have to do?
      • EQRS will do a data migration, but only of those current personnel who have good NPIs
        • Some of the personnel may or may not be there
        • They will still be available on any previous forms or treatment records that they were included on
        • They wouldn't be able to find them in the list if you went to search for personnel
        • The contacts - everyone will have a notice on the dashboard letting them know that they must enter at least their disaster contacts that includes a primary contact, disaster contact and a disaster backup contact; they would also have to add that information to the facility module

    • Will the folks that were entered in that module that were inactive won't pullover when you do the update? 
      • Per Yvette that is correct
      • All the active ones and good NPIs will pullover
    • What about ones that don't have an NPI number like nurse managers and social workers?
      • Those will have to be reentered again
      • For the Personnel Mod, anyone who has an NPI number that was sharing or actually the facility NPI and not their NPI will not come over when Personnel module goes live
      • Again, they will remain on any treatment record or form they were previously entered on, but you will not be able to find them in the search for personnel
      • Any of those additional types of people like social works or administrators, they would need to be added to the facility mod
  • If Personnel module goes live before 2728 (10/1), it will go very close to 10/1 around the last week in September
  • If Personnel module goes live after 2728 (10/1), it can go 1-2 weeks after 10/1

      • Would it affect the entry of the 2728s?
        • Per Yvette, No
        • User will be able to use the old Personnel module until the new Personnel module goes live in production
        • Once the 2728 and 2746 version 2023 changes go live, if you have a current 2746 2018 version in save status, the person completing the form field will update from a drop down to the first name, last name fields.
  • Per Kathleen (FKC) 
    • Suggest for the Personnel Module to go after the 2728 goes live on 10/1
      • Would like to wait for the Personnel Module to go live at least more than 2 weeks after the 2728 goes live 
      • This is a lot of new stuff for the clinics at the same time
      • FKC would like to get a communications campaign out to their clients about the 2728 and 2746
      • Nathan (DaVita) agrees with Kathleen's suggestion
      • Requesting for the Personnel Module go live into production around the first week in November
  • Question (Tricia Phulchand)- Arbor)
    • Tricia plans to cover the Personnel Module in the October 15th Monthly Stakeholder meeting
      • Would the EDIs want the Personnel Module training to also be delayed until November when it goes live?
        • Per Nathan, Kathleen and Geraldine said it would be fine to plan to cover it in the October 15th Stakeholder meeting.  Need to mention to the audience it is not available yet. 
  • 2746 Form
    • As part of the Personnel redesign on the form 2746, the person completing the form field was updated from a dropdown to first and last name free form text fields
    • As part of the go live release on 10/1, that change will go live on the form 2746
    • That is currently what is in the documentation that EQRS ADO's sent
    • According to Kathleen, it's already live in production
    • Question (Revathy)
      • Does the 2846 have to go live when the 2728 goes live on 10/1?
        • Revathy would like to request to have 1-2 more weeks before the 2746 goes live
        • They just received the XSDs at the beginning of September
        • Their teams need more time for QA and UAT of the work
        • This request will be taken back to Porsche (Action Item Adrienne)
  • Question (Leah Skrien)
    • For the 2746, when the form is in save status does the form change to a new form and the person responsible for submitting the form name is filled in or does it stay with the dropdown and the old version of the form?
      • Per Anitha, with respect to the person completing the form, regardless of the form version, it's going to be a free form text field, both for the first and last name
      • After the 2746 changes have been moved to production, there will no longer be a drop down; the previously selected names will not be saved in the new first and last name fields if the form is in saved status.  If it's a submitted form, it will stay as a drop down
      • Regarding versions of the form.  If you save a 2018 form, it will stay a 2018 form and not be updated to the new 2023 version of the form
